COMPUTER DONATION PROCEDURES
I. Selection Process.
Castaway Computers, Inc. (the "Corporation") may require potential grantees to submit an application and supporting documentation addressing the number of computers (and computer equipment) requested, the need of the grantee for such computer equipment and the intended use of the computer equipment.
The Corporation’s Review Committee (the "Committee") will review and screen all of the grant candidates. Individuals on the Committee shall not be in a position to derive a private benefit, directly or indirectly, from the selection of grant candidates.
The selection of grantees is made on the basis of various criteria, including the merits of the grant proposal, the relationship of the grant proposal to the purposes of the Corporation, the number of computers requested, the need for such computer equipment, perceived ability of the potential grantee to carry out the intended use of the grant.
Once the Committee approves the computer request, the grantees name will be placed on the Corporation's Approved Computer Donation list. Computers will be donated to the grantees on the list on a First-Come First-Serve basis. Unless circumstances demand it, and this shall be determined during the Committee's approval process, grantees shall not receive preferential treatment.
II. Terms and Conditions Under Which Computers Donations Are Made.
The terms and conditions of each computer donation are contained in a letter sent to each computer recipient. The terms and conditions include the specific purpose and nature of the computer(s) and requirements for narrative reports from the grantee updating the Corporation as to how the computer equipment has been used. The recipient is required to acknowledge its acceptance of the terms and conditions of the computer(s) in writing by returning an executed copy of the computer award letter. Upon receipt of an executed computer award letter, the Corporation will disburse the computer equipment to the grantee based on an agreed upon disbursement date with the grantee.
III. Procedure for Exercising Supervision over Computer(s).
The Corporation, as it deems necessary, may monitor the grantee’s use of the computer equipment. The Corporation’s Committee will review all reports submitted by the recipient and will determine whether the grantee’s stated purposes are being or have been fulfilled and whether other scrutiny or investigation is necessary. More frequent reports may be required if deemed necessary by the Corporation.
If the Corporation receives information indicating that all or any part of the computer equipment is not being used for the grantee’s stated purposes, the Corporation will initiate an investigation.
IV. Diversion of Computer(s) from Specified Purposes.
If the Corporation determines that any part of the computer donation has been used for purposes other than those stated in the grantee’s grant application, the Corporation will take responsible and appropriate steps to recover the improperly used computer equipment. These steps may include legal action.
V. Amendment and Review.
The Corporation’s Committee may amend these procedures at any time, without written notice to grantees.
